Privacy Policy

The Livery Cigar Emporium is a 21+ private lounge. This policy explains what we collect when you create a member account, register for an event or tournament, reserve a table, or place an order, and how we use it.
Information we collect
- Identity and contact details: first and last name, email address and mobile number.
- Date of birth, collected once to verify that you are 21 or older, together with the result of that check, the form you completed it on and the date and time.
- Consent records: your text-message opt-in or opt-out, the exact wording you agreed to, its version, the form it came from and the timestamp, plus your acceptance of these policies.
- Activity in the lounge: event and tournament registrations, check-ins, loyalty points, rewards and purchase totals matched from our point-of-sale.
- Technical details such as the page that referred you and campaign tags, used to understand which listings bring guests in.
We do not store credit or debit card numbers. Card payments are handled by our point-of-sale provider, and we keep only the amount, status and a reference so we can match a payment to your registration.
Age verification (21+)
Tobacco products and our lounge require guests to be 21 or older. We ask for your date of birth once, calculate your age, and store the verification result on your member account. If the check fails we record the attempt and you cannot register for age-restricted events or tournaments. Government-issued photo ID is still checked at the door.
How we use your information
- To confirm your registrations, reservations and orders and to send event reminders 72, 24 and 8 hours before start.
- To check you in at the door, award loyalty points and validate rewards.
- To keep a 21+ compliance record and an audit trail of consent.
- To send promotional messages only if you separately opted in.
Text messages and email
Transactional messages (confirmations, reminders, check-in and payment notices) are kept separate from promotional marketing. You can opt out of texts at any time by replying STOP or by turning them off in your member profile; you can unsubscribe from marketing email using the link in any promotional email. Opting out of marketing does not stop essential confirmations for bookings you have made.
We do not sell, rent or share your mobile number or your consent with third parties or affiliates for their own marketing.
Who can see your information
Members can see only their own records. Lounge staff see only the operational details they need to run events, check-ins and orders. Administrators can additionally see payment and compliance records. Service providers who deliver our email and text messages and process payments handle data on our behalf under contract.
Scan, tap and share statistics (our Connect page)
When someone opens our Connect page by scanning a printed QR code, tapping a card or tag, or following a link, we count the visit so we know which cards, tables and flyers actually bring people in. These counts are anonymous: we never attach a name, email, phone number or member account to them, and they cannot be traced back to an individual.
- What is counted: the date and time, whether it came from a printed code, a tap card or a direct link, which card or campaign it was, and which button or event was tapped.
- Optional extras we may store: the general device type (phone, tablet or computer) and the website that referred the visit. Either can be switched off, in which case nothing of that kind is recorded.
- What is never stored: names, email addresses, phone numbers, precise location, member identifiers, card details or any personal profile.
- Off switch: this counting can be turned off entirely for the page, and where local rules require it we ask for agreement first and show a short notice explaining it.
These records are deleted automatically once they pass the keep-period we set (90 days by default, and never more than two years). Older records are removed on an ongoing basis, and we can erase every record on request. Reports built from them only ever show totals, never individual visits.
Purchases from our point-of-sale
When you buy at the register, our point-of-sale provider handles the card transaction and remains the official record of that sale. We receive only what is needed to credit loyalty points and match a payment to a booking: the amount, the status, the date, a reference number, and the identifier or email the provider uses for your customer record so your purchase can be linked to your member account.
- We never receive or store full card numbers, expiry dates or security codes.
- Points earned from a purchase are written once to an unchangeable history; a mistake is corrected with a visible reversal entry rather than by editing the past.
- Purchases we cannot confidently match to a member are held for staff review and are not attached to anyone's account until confirmed.
Purchase and points history is kept for as long as your account is active, and afterwards only as long as tax, accounting and compliance rules require. If you ask us to close your account we remove your personal details and keep only the anonymous totals we are obliged to retain. Deleting data here does not remove the sale from the point-of-sale provider's own records, which they keep under their own policy.
Retention and your choices
We keep age verification and consent records for as long as your account is active and afterwards for as long as required to demonstrate compliance. You may request a copy of your information, corrections, or deletion of your account by contacting us; some records must be retained for legal and compliance reasons.
Children
Our services are not directed to anyone under 21, and we do not knowingly collect information from minors. If we learn that a member is under 21 we close the account and delete the associated data.
